When the spreadsheet is no longer enough and you need an application
The six signs that your spreadsheet stopped being a tool and became a risk, and what to look at before commissioning custom software instead of buying something off the shelf.

Almost every business runs on a spreadsheet that started out as four columns and today has twelve tabs, formulas nobody dares touch and a copy called final_v3_good. It works. Until one day it stops working, and it usually does so all at once.
These are the signs that the day is getting closer.
The six signs
1. More than one person edits it at the same time
The moment there are two hands, there are two versions. Even in the cloud, two people touching the same row produce silent losses: nobody sees the figure that vanished until it is needed.
2. Nobody knows who changed what
An odd number turns up and there is no way of knowing when it was entered or who put it there. If that sheet supports invoicing, stock or payroll, that is no longer an inconvenience: it is a control problem.
3. There is one person who is the only one who understands it
The sheet has an owner. If that person goes on holiday, the process stops; if they leave the company, it stops for good. It is the most expensive risk and the one least seen coming.
4. Data is copied between places by hand
From the invoicing program to the sheet, from the sheet to the bank, from the sheet to the report. Every manual copy is a chance to make a mistake and a stretch of work that gets paid for every month.
5. There are rules the sheet cannot enforce
«The discount cannot go above 15 %», «you cannot invoice without a delivery note». A sheet does not force anything: it lets you write anything in any cell. An application can stop it.
6. It holds personal data and travels by email
A sheet with names, identity documents or health data circulating by email or messaging is a breach waiting its turn, with legal consequences under both the GDPR and Chile's Ley 21.719.
Before commissioning anything: does it already exist?
This is the question to ask before any other, and the one an honest supplier asks you too. If what you need is to invoice, run a warehouse, manage appointments or a CRM, there is a finished product, tested by thousands of companies and maintained by somebody who is not you. It is almost always the better option.
Custom development is justified when one of these three things happens:
- Your process is your competitive advantage and looks like nobody else's. Bending it to fit a standard product would mean giving up what sets you apart.
- You need to connect systems that do not talk to each other, and the real work is in the bridge, not in the application.
- The product exists but is priced per user and you have many users who each do very little. There the arithmetic changes.
What to insist on if you decide to commission it
- That the code is yours and lives in a repository you can access. Without that, you have a rental dressed up as a purchase.
- That it exports your data in an open format. The day you want to change, that is the difference between migrating and starting from scratch.
- Start with the smallest thing that is useful. The first delivery should solve part of the problem in weeks, not the whole problem in a year. Projects delivered whole at the end are the ones that never get delivered.
- Know who maintains it and what that costs. A program without maintenance has the same life expectancy as an abandoned website.
- Tested backups. Not that they exist: that they have actually been restored at some point.
The middle option almost nobody considers
Between the spreadsheet and custom software there is a step that solves an enormous number of cases: leave the sheet where it is and automate what goes in and what comes out. Let the invoices read themselves, the report generate itself, the alert send itself.
It costs a fraction, takes days and removes exactly the part that hurts: the repetitive work. If your problem is copying and pasting, this is the answer, and it lives in AI and automation. If your problem is not knowing what is going on in your business, then what is missing is a dashboard: a cash dashboard.
