Why it ends up being needed
There is a wide gap between knowing that artificial intelligence is useful and knowing what it is useful for in your business. Everyone has had the first for two years now; the second requires looking at how you actually work, and that is in no article.
What usually happens when someone starts on their own is that they try three tools they have heard of, two seem useless because they were tried on the wrong case, and the third works but nobody measures how much it saves, so two months later it stops being used. The tools were not the problem.
This engagement is the hour nobody spends looking at where your time actually goes, plus the work of turning that hour into an ordered list: which task, which tool, what it costs per month and how many hours it gives back. With the running order set, because doing everything at once is the fastest way to finish nothing.

What gets decided before a line is written
- What gets measured before starting — How long each candidate task takes today. Without that number, three months from now there will be no way to tell whether the change worked, and the automation gets abandoned for the same reason gym memberships do: nobody can see the progress.
- What is deliberately left out — Tasks that repeat rarely, tasks that change every time, and tasks that carry a decision with consequences. Automating something that happens twice a month costs more than doing it by hand, and automating a judgement call scales the mistake.
- A specific tool, not a category — The report does not say to use a workflow manager: it says which one, with its real monthly price and the limits of its free tier. A recommendation that forces you to go research afterwards is half a recommendation.
- The order matters more than the list — You start with whatever returns the most hours from the fewest connected pieces. If the first attempt works within a week, there is appetite for the second; if the first is the most ambitious, there is rarely a second.
What is not included
- Building the automations: the report is written so anyone you choose can apply it, and if you hand it to us it is quoted separately.
- Licences or subscriptions for the recommended tools.
- A data protection audit: that is the GDPR and AI Act compliance service.
- Training the team, which is a separate workshop.

Does this end up being a quote from you?
The report stands on its own and it is yours: it comes with the tools and their prices, so you can do it yourself or with whoever you like. If you do commission us, we take the €290 off the project.
Is it useful for the Kit Digital grant?
The report tells you what fits the programme’s categories, including process management and artificial intelligence. Applying for the voucher and delivering it through an approved digitalisation agent are separate procedures, and we explain how they work.
And if my business is very small?
All the better: the big savings sit in small businesses that do everything by hand. If by the end of the interview we can see there is nothing worth automating, we tell you and refund you.
